Toolkit

This toolkit includes information to help you refer and connect individuals impacted by discrimination, harassment, or sexual misconduct to support and resources, while informing them about your reporting obligations.

Sample Script

“Thank you for trusting me with this information. Before you share more, I want to let you know that as a university employee, I am required to report any potential discrimination, harassment, or sexual or gender-based misconduct to the Equity, Civil Rights & Title IX office. ECRT is responsible for responding to all allegations of discrimination, harassment, and sexual misconduct on campus. They will contact you to connect you with information, resources (including confidential support), and supportive measures. I can also connect you to a confidential resource. What questions do you have about this?”

Disclosure Checklist

  • Safety first
Confirm whether there is immediate danger and refer to DPSS if necessary. “Do you have any concerns about your safety?” For all immediate safety concerns, contact DPSS at 734-763-1131.
  • Do not investigate
Listen without pressing for details or asking questions. Even well-meaning questions can sometimes sound blaming.
  • Lead with empathy
“I’m sorry that happened to you.” “Thank you for telling me.” “How can I support you?” “It’s not your fault.”
  • Mirror language
If they describe themselves as a “victim” or “survivor,” then use that same language. Do not label anyone’s experience for them.
  • Refer and connect
Share contact information for ECRT and other available campus resources.
  • Make a report to ECRT
Complete the Report a Concern form to fulfill your reporting obligations.

Email Signature Language

Employees can disclose their reporting obligations by using the following language:

As a [U-M/Michigan Medicine] employee, I am required to share information about possible discrimination, discriminatory harassment, sexual or gender-based misconduct, or related retaliation with the Equity, Civil Rights and Title IX office.

Support is available if you would like to connect with a confidential resource.

Instructions on how to customize your email signature can be found at the bottom of the Brand Office’s Templates page.

Workspace Signage

Our Know Before You Disclose signage can be printed out and displayed in your workspace to proactively share your reporting obligations.
